We respect your privacy and are committed to protecting your personal data. This policy applies to all individuals who interact with Cloud Hub — including website visitors, prospective clients, and active clients. We will never sell your data to third parties.

1. Overview

Cloud Hub ("we", "us", or "our") is committed to protecting the privacy and personal information of every individual who interacts with our website, services, or team. This Privacy Policy explains what data we collect, how we use it, who we share it with, and what rights you have over your information.

This policy applies to all users of our website (cloudhub.io), clients who engage our services, and anyone who communicates with us via email, WhatsApp, or any other channel.

By using our website or services, you consent to the practices described in this Privacy Policy. If you disagree with any part of this policy, please discontinue use of our services and contact us to have your data removed.

2. Data We Collect

Information you provide directly: When you fill out our contact form, request a quote, or communicate with us, we collect your name, email address, phone number, company name, and project details you choose to share.

Technical data collected automatically: When you visit our website, we may automatically collect your IP address, browser type and version, operating system, referring URLs, pages visited, time spent on pages, and general geographic location (country/city level).

Communication data: If you email us or message us via WhatsApp, we retain records of that communication, including its content and metadata, for the purpose of providing our services and maintaining records.

We do not collect sensitive personal data such as government ID numbers, financial account details, biometric data, or health information. Payment processing is handled by third-party providers and we do not store payment card information.

3. How We Use Your Data

To provide and deliver our services: We use the information you provide to understand your project requirements, prepare proposals, execute projects, and communicate progress updates.

To respond to enquiries: When you contact us, we use your information to respond to your questions, provide quotes, and follow up on outstanding items.

To improve our website and services: Technical data helps us understand how visitors interact with our site so we can improve content, performance, and user experience.

To send service-related communications: We may send you invoices, project updates, and important service notices. We do not send unsolicited marketing emails without your explicit consent.

For legal and compliance purposes: We may process your data to comply with applicable laws, resolve disputes, enforce our agreements, and protect our legitimate business interests.

5. Data Sharing & Third Parties

We do not sell, rent, or trade your personal information to third parties for marketing purposes. Ever.

We may share your data with trusted third-party service providers who assist us in delivering our services — such as cloud hosting providers (AWS, Vercel), project management tools, and communication platforms. These providers are contractually required to protect your data and only use it for the purposes we specify.

We may disclose your information if required by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Cloud Hub, our clients, or others.

In the event of a business transfer, merger, or acquisition, your data may be transferred as part of that transaction. We will notify you before your data is transferred and becomes subject to a different privacy policy.

6. Data Retention

We retain personal data for as long as necessary to fulfil the purposes for which it was collected, including for satisfying any legal, accounting, or reporting requirements.

Client project data and communications are retained for a minimum of 5 years from the date of project completion, in line with standard business and legal requirements.

Website analytics data is retained for a maximum of 26 months before being anonymised or deleted.

If you request deletion of your data (see Section 8), we will delete or anonymise your information within 30 days, except where we are required to retain it by law.

9. Data Security

We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, or disclosure.

These measures include: encrypted communications (HTTPS/TLS), access controls limiting data access to authorised personnel only, regular security reviews, and secure cloud infrastructure hosted on industry-leading platforms.

While we take every reasonable precaution, no method of transmission over the internet or electronic storage is 100% secure. In the unlikely event of a data breach that affects your rights and freedoms, we will notify you and relevant authorities as required by applicable law.
